Invoicing
Invoice vs Receipt: What's the Difference?
People use 'invoice' and 'receipt' interchangeably, but they're two different documents with different jobs. An invoice asks for money; a receipt confirms money received. Sending the right one at the right time keeps your records — and your clients — straight.

An invoice asks for payment
You send an invoice before or after delivering work, to tell the client what they owe and when. It lists your details, the client's details, line items, the total, and payment terms. An unpaid invoice is money you're waiting on.
A receipt confirms payment
You issue a receipt when the client pays — it records that the money arrived, when, and in what amount. Clients and their accountants keep receipts as proof of purchase for their own records.
Key differences
Timing is the core difference: invoice first, receipt after payment. An invoice is a demand (or request) for payment; a receipt is evidence that payment happened. A receipt usually references the invoice it settles, and it doesn't list payment terms because there's nothing left to pay.
What this means for your workflow
Send the invoice, track it as sent, then mark it paid when the money lands — that record is your receipt trail. For retail-style sales, you can also simply issue a receipt-style document at point of sale. The key is never to present an invoice as a receipt or vice versa.
Example
You finish a $500 design job: send Invoice #004 on Monday with 'due within 14 days'. The client pays by bank transfer on Friday. You mark the invoice paid — the paid invoice serves as the receipt record for both of you.
Frequently asked questions
Can an invoice be a receipt?
For many small transactions, a paid invoice (marked 'paid') serves as both. Strictly, an invoice requests payment and a receipt confirms it — one document can cover both if it's clearly marked paid.
Do I need to issue a separate receipt?
Only if your client asks for one or your local rules require it. Most businesses record the paid invoice and are done.
Which comes first — invoice or receipt?
The invoice. Payment happens after the invoice is sent, and the receipt documents that payment.
