How to Number Invoices (and Why It Matters)

Invoice numbers exist so every document is unique and traceable: yours, your accountant's, and your client's. A simple sequential system costs nothing and saves endless confusion.

The basic rule

Every invoice gets a unique number, and numbers never repeat. The simplest system is a sequence with a prefix: INV-001, INV-002, INV-003. The prefix just labels the document type so invoices don't collide with quotes or credit notes.

Numbering systems that work

Sequential (INV-001) is easiest. Year-prefixed (INV-2026-001) restarts each year and self-documents the billing period. Client-coded (ACME-001) groups by customer, which helps when you review a client's history. All are fine as long as numbers stay unique and sequential within their sequence.

Keep estimates separate

Quotes and estimates should use their own sequence (EST-001) so a quote can't be mistaken for a bill. This matters for your books and for clients who file documents by number.

What not to do

Don't reuse numbers after a deletion, don't number invoices by date alone (two jobs on one day collide), and don't let 'INV-1' and 'INV-001' live in the same sequence. Fix the format and stick to it.

Example

A freelancer starts with INV-001 in January. By December they're at INV-147. A client calls about 'that invoice from March' — 'INV-039, the logo project' — found in seconds because the sequence is clean.
